This policy explains the information this website is intended to collect, why it is used, and the choices available to you. It must be reviewed against Velzosoft's final legal entity, operating locations, vendors, and live data practices before publication.

This is a practical website draft, not legal advice. The legal entity, registered address, jurisdiction, and final retention periods still need to be confirmed before this policy is treated as final.

1. Who is responsible for your information

Velzosoft is responsible for personal information collected through this website. The approved legal entity name, registered address, registration details, and applicable data-controller information should be inserted here before launch.

2. Information we collect

When you contact Velzosoft, the website may collect the information you choose to submit, such as your name, work email, company, website, project type, product stage, timing, indicative budget, referral source, and the description of your needs.

Do not use the public form to send passwords, API keys, confidential source code, regulated information, or sensitive customer data.

The website infrastructure may also create ordinary technical records such as IP address, request time, browser information, referring page, and error or security logs. The analytics and measurement tools this site uses are described in section 3.

3. Cookies, analytics, and measurement

This website uses a small set of measurement tools, which set cookies or similar identifiers:

  • Google Analytics 4 — usage measurement: which pages are visited and how visitors arrive and move through the site.
  • Google Ads conversion tracking — attributes enquiries, bookings, and direct-contact clicks to the advertising that led to them.
  • Microsoft Clarity — session replay and heatmaps. Clarity records on-page interactions such as scrolling and clicking so we can see how pages are used. Text you type into the enquiry form is masked from recordings.
  • Tawk.to — live chat. While the chat widget is active, Tawk.to also shows us visitor activity such as the current page, approximate location, and referring site.

These tools run by default when you visit. A notice on your first visit lets you reject them: rejecting switches Google tags to cookieless pings, stops Microsoft Clarity from recording and loading again, removes the chat widget, and clears the measurement cookies already set. You can change your choice at any time using the Cookie preferences link in the footer.

Booking a call sends the details you enter to Cal.com, and starting a chat sends what you share to Tawk.to. These are separate data flows from the enquiry form and are covered by those providers' own policies as well as this one.

You can also control tracking at the browser level by blocking or deleting cookies in your browser settings, installing the Google Analytics opt-out add-on, or adjusting Google's ads settings.

4. Why we use information

  • To review and respond to project and business enquiries.
  • To assess whether Velzosoft's services are a suitable fit.
  • To communicate about a requested conversation or potential engagement.
  • To operate, secure, diagnose, and improve the website.
  • To measure which pages and campaigns lead to enquiries, bookings, and conversations.
  • To meet legal, accounting, fraud-prevention, or security obligations where applicable.

The applicable legal basis depends on your location and the interaction. It may include taking steps at your request before a contract, legitimate business interests, consent, or compliance with a legal obligation. These bases should be verified for the jurisdictions in which Velzosoft operates.

5. Service providers and transfers

Website hosting, form delivery, email, scheduling, chat, analytics, security, and other approved providers may process information on Velzosoft's behalf. The providers currently used are: Web3Forms (delivery of enquiry-form submissions), Cal.com (call scheduling), Tawk.to (live chat and visitor monitoring), Google (analytics and advertising measurement), and Microsoft (Clarity session replay). Several of these providers operate internationally, so information may be transferred to and processed in countries other than your own, including the United States.

Velzosoft does not intend to sell personal information submitted through the enquiry form.

6. Retention and security

Information should be retained only for as long as reasonably needed for the enquiry, a resulting business relationship, legal obligations, dispute management, and legitimate security records. Final retention periods must reflect the systems and practices actually used.

Reasonable organizational and technical safeguards should be used to protect personal information. No internet transmission or storage system can be guaranteed to be completely secure.

7. Your rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent, and to complain to an appropriate regulator. Contact Velzosoft using the email above to make a request. Identity may need to be verified before a request can be completed.

This website may link to third-party websites. Their privacy practices are governed by their own policies, not this one.
